Main responsibilities and duties of the position: | Maintaining the Council Secretariat, coordinating Council members' appointments and meetings, arranging administrative procedures for obtaining office supplies and other materials needed for Council members' work and meetings. Organizing and conducting meetings arranged by the Council Bureau and maintaining daily records of meetings and decisions (meetings conducted by Council members). Observing the functioning and non-functioning of the social center and bringing issues to the attention of the elderly. Preparing detailed reports on how the City Council functions and submitting to the Local Government Authority within the specified period. Arranging all matters of hospitality for local and foreign guests invited to the Council. Carrying out all tasks planned by the Administration Unit to be completed within the year. Arranging all official visit preparations for the Mayor and Deputy Mayor, preparing travel reports and filing. Coordinating with relevant parties to upload photos of Council decisions and meetings to the organization's website/Facebook page. Receiving and sending sitting arrangements for the Mayor and Deputy Mayor, sending sitting arrangements received by the Mayor and Deputy Mayor and other documents to government offices and other parties. Maintaining daily records of official meetings attended by the Mayor and Deputy Mayor both inside and outside the Council office according to the rules set. Reviewing the extent to which the Mayor's Office staff and assigned tasks are being carried out, maintaining a list of assigned tasks in the main system Providing necessary assistance in all matters conducted by the Office Providing full support to implement Council decisions, and carrying out all administrative tasks required in implementing such decisions under the guidance of the Secretary General or Supervisor Fully accountable to the Council and Secretary General in all matters related to the Office of the Council and the implementation of Council decisions |
Position Requirements: | Having obtained a Certificate Level 4 or Advanced Certificate from the relevant field related to the position from the National Qualification Framework of the Maldives, or Having obtained a qualification Level 4 from the National Qualification Framework of the Maldives related to the position, and obtained a Certificate in 'Dhivehi' subject in 'Secondary School' or 'Higher Secondary School' examination with a grade 'C' or above. |
